Summary

The Hire2Retire Phase 4-1 release adds some significant enhancements to the product based on market needs and customer feedback.

These enhancements include support of the ADP-API based data integration, allowing customers to use API or extract-based integration based on their evaluation of the pros and cons of the two approaches. In addition, custom email templates allow customers to use branded templates for notifications upon employee lifecycle state changes. This includes the ability to use multiple templates for each event, say employee onboarding targeted to the recipient. For example, this can allow users to have a template that notifies the manager upon onboarding, a second template to notify the helpdesk and trigger physical resource allocation, and a third email template to send to the hired employee on steps to get started on the first day at work.

There are multiple other enhancements to add features to existing capabilities or improve the user experience.

Support ADP API based integration with User Interface

This is a New Feature in Hire2Retire Platform.
Users are provided with ADP API option on Hire2Retire platform in addition to file extract SFTP option. Employee data from ADP will be retrieved through API request. ADP-API solution supports full extract and all employee records will be pulled and synced into AD server. User can select the Employee attributes that they want to include in the full extract at design time. The polling interval can be defined from every few hours to few days a week.

Support new AD Attributes

This is a Feature Enhancement in Hire2Retire Platform.
Few more AD attributes are supported in this release based on customer feedback and demand:

  1. AD Attributes Home Directory and Home Drive, Preferred Language are supported for data mapping.
  2. AD Attributes msExchHideFromAddressLists and disabledDate are automatically updated during different lifecycle business rules.

There is no impact on user’s existing flows and this change is fully backward compatible.

Provide Employee Number as alternate unique identifier

This is a Feature Enhancement in Hire2Retire Platform.
Users are given two options to choose as the Employee Unique Identifier in AD: 1. Employee ID 2. Employee Number

At runtime, hire2retire workflow will identify the employee in AD using the selected Employee Identifier and then either create or update employee profile based on using it as the key linking the HR profile to AD profile.

There is no impact on user’s existing flows and this change is fully backward compatible.

Custom Email Template for Email Notifications

This is a new Feature in Hire2Retire Platform.
Users can define custom branded email templates for email notification upon processing of employee changes in Hire2Retire. The custom mail template is available for all lifecycle business – hiring, termination, change of role or profile update, rehire and leave of absence. Multiple email templates can be created under any of the lifecycle business. For example you may use one template to notify manager upon an employee hiring, another template to helpdesk and to create a ITSM ticket and a yet another email to go the hired employee letting him know of the things to get started on day one.

All AD attributes are available for mapping in the template. Email template can be reused in any of the flows under the same account.

For existing users’ workflows, the default email content and selected recipients will be automatically converted into custom email template view. No extra work is needed and this change is fully backward compatible.

New UX updates for group assignment pages

This is a Feature Enhancement in Hire2Retire Platform.
Group assignment pages are improved for ease of use and better user experience. Add Expression buttons are moved to the bottom of the rule set. And delete expression buttons are moved to the top right of the ruleset window. The pages where these improvements are made are: 1. Organizational Unit Assignment 2. Security Group Assignment 3. Distribution List Assignment 4. Microsoft 365 Group Assignment

There is no impact on users’ existing flows and this change is fully backward compatible.

Provide feature to "force change password at first login"

This is a Feature Enhancement in Hire2Retire Platform.
Users are given option to add user-level policy force change password at first login for onboarding operation. This setting is selected by default. If you already have this policy at the tenant level, you may chose to deselect this option and let your AD policy take care of it. This feature was added in response to customers who wanted it as they did not enforce it as global AD policy.

There is no impact on users’ existing flows. This setting is unselected for existing workflows. The existing Hire2Retire workflows will still execute based on the company level AD policy.

Support case sensitive UPN, email and proxy addresses

This is a Feature Enhancement in Hire2Retire Platform.
Customer are given option to either transform UPN, email and proxy addresses to lowercase or map with the existing case format from HR system. Transformation to lowercase is the default option.

There is no impact on users’ existing flows and this change is fully backward compatible. All the existing flows are using “to lowercase” option.

Support for Upload of photo to AD from Bamboo HR employee photo

This is a Feature Enhancement in Hire2Retire Platform.
Users can sync BambooHR photo to AD systems by mapping BambooHR photo to AD thumbnailphoto field.

There is no impact on users’ existing flows and this change is fully backward compatible.

Add "Remove selected security groups and distribution lists" option for "Leave" Operation

This is a Feature Enhancement in Hire2Retire Platform.
Other than the existing three group management options: 1. Keep all security groups and distribution lists 2. Remove all security groups and distribution lists 3. Keep selected security groups and distribution lists

Hire2retire will now support a 4th option: Remove selected security groups and distribution lists. This will benefit users who has a large number of groups but only want to remove certain groups for employee whose status is leave of absence.
